ROLE SUMMARY

The Meetings, External Engagements, & Travel (MEET) Process Integration & Controls Manager is responsible for the implementation of MEET processes and for overseeing adherence to processes and policies within EMEA.

This role will be responsible for ensuring that all transactions within EMEA are managed to the highest compliance standards and there is proper training and documentation to support controls.

The Process Manager role will oversee compliance checks for exceptions in their area of responsibility and work through any transaction issues or escalations.

This role will work closely with the Process Integration and Controls Lead, Process & Quality Analysts, MEET regional operations teams, other MEET Centers of Excellence, Corporate Compliance, Legal, Audit, Finance and business leadership as needed. The position will lead all regionally assigned pre-audit qualifiers and compile materials for audits.

This role will be based in Thessaloniki, Greece and report directly to the Global Process Integration and Controls Director. This role will lead a team of 3 - 4 Process & Quality Analysts.

  • Responsible for implementing compliant processes within EMEA for all MEET activities, ensuring adherence

  • Supports identification of opportunities for continuous improvement to MEET processes – with an eye towards opportunities that simplify end-to-end processes for business stakeholders (while still ensuring compliance)

  • Oversee internal trainings related to MEET processes for EMEA, ensuring alignment with global standards

  • Oversee process governance activities including business continuity planning, policy development, audit readiness, tool management, process ownership, service offering management

  • Implement quality review process for MEET systems to ensure standard controls are functioning as expected

  • Ensure Process and Quality Analysts manage all transactions using MEET standard operating procedures and accurate internal control documentation

  • Work with global lead to set standards for the MAPP transaction review process including attendee review, HCP reviews, transaction approval, PIGO, data collection, error correction, contracts, audit support, and exception remediation

  • Implement policy changes as new policies are created

  • Set standards in EMEA for service planning activities including PO and P2P payments, venue selection, attendee registration, compliance preparation, contract execution, and content development

  • Drive a best-in-class experience for healthcare professionals and internal customers in EMEA through improvements to technical and operational aspects of MEET processes

  • Lead detailed review / submission of a monthly audit sampling of My Anti-Corruption Policy and Procedures (MAPP) data / submissions for EMEA to ensure accuracy

  • Lead a review of data trends for EMEA to identify risk areas and work closely with Legal, Compliance and Audit to solution gaps

  • Ensure all transactions are properly documented in workflow system (via sampling) and ensure standards are in place where applicable

  • Work with Anti-Corruption Program Office and Compliance to ensure MAPP transactions comply with MAPP policy and other healthcare professional policies; review control design for any enhancements and ensure proper standard operating procedures are in place

  • Answer any compliance related questions or transaction escalations where patterns are documented, train or change as needed

  • Lead all audit preparation and execution for EMEA to ensure no risk areas are found in MEET controls

  • Ensure Compliance is a priority for all MEET colleagues in the community through training, innovation sessions, and compliance workshops

  • Identify and raise concern areas with operations, policy, or business adoption teams as needed and develop remediations to address concerns

  • Work with ACPO/Compliance to manage approvals for exceptions and identify opportunities for further simplification of MEET processes and controls to better align with business operational goals (while still maintaining a strong compliance posture)

  • Lead interactions with business colleagues, Healthcare Professionals and external organizations – having knowledge of country controls within EMEA

  • Provide coaching and development for team members through structured processes and tools, including individual and talent development

  • Design continued education for MEET colleagues to develop their knowledge of MEET controls throughout the process

BASIC QUALIFICATIONS

  • Minimum of bachelor’s degree in Business, Finance, or a related discipline

  • Typical Years of Experience: 5+ years (3+ years with MBA / MS/CPA or equivalent) of experience in accounting, management, compliance, and customer focused operations with significant volumes and risk (including audit and/or finance experience)

  • Proficiency in PC skills (MS Excel, Word, PowerPoint) required

  • Fluency in English is a must; additional languages preferred

  • Comprehensive knowledge and expertise in the technology landscape that supports MEET

  • Ability to manage a large team

  • Management of multiple client stakeholders

  • Good organizational skills to coordinate and manage multiple priorities

  • Strong technical skills in managing transactions within a system

  • Strong written and verbal communication skills enabling effective communication with all levels of management

  • Strong customer service skills and mindset

  • Understanding of compliance/financial controls

  • Ability to present to senior leaders

  • Ability to work under pressure and manage many colleagues

  • High level of self-motivation, energy, and flexibility

  • Understanding of MAPP Policy terms and healthcare compliance policies

  • Strong interpersonal and organizational skills

  • Ability to manage reporting needs for business, BU, Compliance, Audit, etc.

PREFERRED QUALIFICATIONS

  • SAP / Ariba experience preferred

  • Experience with Foreign Corrupt Practices Act transactions preferred

  • Strong compliance experience and financial or audit controls background

  • Previous experience with pharmaceutical companies is preferred
