Job Summary

This position reports to the Assistant Director of Master's Program Management, within the Office of Graduate Education. The Program Manager (PM) is a vital role in supporting and managing the SM degree in Healthcare Quality and Safety (SM-MHQS). Working alongside Assistant Director and faculty directors, the PM will help develop and advance the master's program, improving upon processes and policies. The PM will work with the MHQS Program Directors on student engagement initiatives and create strategies for developing community within the master's program and ensures that students and faculty are aware of policies.

Position Description

The Program Manager will be responsible for overseeing the following:
Course Management/Curriculum Oversight: Takes an active role in the management and delivery of the educational experience for the master's program. Helps to manage and organize the program curriculum and course schedules and oversees course delivery. Oversees the organization of the course content and preparation of materials and designs and creates Canvas sites as the primary repository for course materials. Works with teaching assistants to leverage best practices for classroom management and student engagement. Takes an active role in supporting all courses within the MHQS program.

Recruitment & Admissions: Manages the recruiting & admission process, including coordinating information sessions, assisting faculty directors with inquiries and information, serving as the primary contact for prospective students to ensure that application requirements are met, answering inquires, collecting documents, organizing admissions committee meetings, preparing and distributing acceptance letters. Manages the enrollment and onboarding process for accepted students.

Student Advising: Act as the primary contact for all student inquires. Advise students on a range of topics throughout their academic career, including registration and enrollment, academic assistance, university policies, and resources. Serve as a liaison for students between the program and other HMS offices and program leadership. Communicate with HMS Registrar's Office to ensure that students are properly registered. Acts as primary liaison for students, while facilitating coordination among program directors, faculty, and the Office of Graduate Education. Ensures that all requirements are met for graduation and oversees the planning of program specific graduation. Provide advice and help ensure student wellbeing while at HMS.

Management of TA and Temps: Manage the TAs and LHT hires. Review and approve time reported. Ensure that TAs and Temps are meeting deliverables and adhering to HMS policy.

Financial Management & Oversight of Faculty Payments: Draft faculty and TA/TF contracts; ensure timely and accurate payments. Manage expense budgets and process payments as needed. Maintain precise payment records, including honoraria and guest speaker payments. Manage expense budget, making payments as appropriate.

Reporting & Special Projects: Ensure that grades are reported to the Registrar. Maintain other records, including number of applications, diversity statistics, admissions, etc. Develop and coordinate data and records for MHQS students, alumni, and faculty. Maintain long term, meaningful engagement with alumni and track their career choices and progress in the field. Develop new program materials as needed. Take initiative to identify ways to grow program and collect relevant data.

Basic Qualifications

• 5 or more years of experience. Higher education may count towards experience.

Additional Qualifications and Skills

• Bachelor's degree preferred.
• Master's degree in relevant field.
• Knowledge of Microsoft Office Suite, advanced excel skills.
• Ability to work with students, colleagues, clients and external organizations.
• Communication skills (both written and verbal).

Physical Requirements

• Sitting using near vision use for reading and computer use for extended periods of time.
• Lifting (approximately 20 to 30 pounds), bending, and other physical exertion.

Working Conditions

• Work is performed in an office setting.
• May be required to work nights and weekends.

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
