Position Description

The Department of Global Health and Social Medicine (DGHSM) at Harvard Medical School applies social science and humanities research to improve the practice of medicine, the delivery of treatment, and the development of health care policies worldwide. To maintain our leadership of the field, the Department must: underline our commitment to teaching and research in global health equity; maintain and enhance support for “effector arms,” with a focus on implementation and delivery; strengthen models of graduate and post-graduate training, and coordinate efforts throughout Harvard to build a common agenda around global health equity.

The DGHSM is seeking a strong applicant for the position of Coordinator of Special Projects. Under the direction of the Executive Director, the Coordinator of Special Projects will be responsible in assisting with the organization of on-going projects and initiatives such as but not limited to: the day-to-day operations of the Paul Farmer Collaborative, the planning and execution of an academic symposium, maintaining the department website and creating and disseminating a weekly newsletter. To be successful as a Coordinator of Special Projects, the individual will need to be able to work on tight deadlines, be competent in using Microsoft Office applications such as Word and Excel, and have exceptional verbal, written, and presentation skills.

Project Management

• Maintains and monitors project plans and project schedules for special projects.
• Organizes, attends, and participates in stakeholders' meetings. Facilitates meetings where appropriate and is responsible for taking minutes. Ensures stakeholder views are managed towards the best solution.
• Ensures smooth processes to drive collaborations with faculty and staff.
• Ensures projects adhere to frameworks and all documentation is maintained appropriately for each project.
• Documents and follows-up on important actions and decisions from meetings.
• Prepares necessary presentation materials for meetings.
• Creates a project management calendar for fulfilling each goal and objective.
• Demonstrates keen judgement and critical thinking skills in determining next steps, including seeking feedback from colleagues, supervisors, and faculty members, as appropriate.

Communications and Special Events

• Primary point of contact for external needs of the special projects.
• Responsible for the dissemination for weekly newsletter and manages the department website.
• Responsible for the planning and execution of symposia and other special events that are part of special projects.

Administration and Finance

• Provides administrative and financial support to the executive director and the director of finance including but not limited to budget development.
• Responsible for Concur reimbursements and non-employee reimbursements.
• Coordinates travel arrangements.
• Works with finance team to ensure all invoices are paid.

Other

• Performs related duties as assigned.

Basic Qualifications

4 or more years of relevant experience. A Bachelor's degree may count towards experience.

Additional Qualifications and Skills

• Experience in an academic setting working with faculty and students.
• Excellent organizational and communication skills.
• Able to deal with confidential and sensitive information. Able to work independently and collaborate with others.
• Ability to manage concurrent projects and multiple priorities.
• High degree of flexibility and adaptability. Skills in Word, Excel, and PowerPoint required.
• Experience in higher education or related field is a plus.

This is a 2-year term appointment with the possibility of renewal contingent on funding.

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
