Job Function:
Coordinate academic affairs activities for the College and serve as administrative assistant to the Associate Dean for Academic Affairs.
Minimum Education:
Associate's degree or an equivalent combination of education and experience will be accepted in lieu of an associate's degree.
Preferred Education:
Associate's degree in administration or business.
Minimum Experience:
At least one year of related experience.
Preferred Experience:
Excellent interpersonal skills, an ability to interact with a wide variety of individuals, and employ a customer service approach.
Duties and Responsibilities:
- Facilitate curriculum actions, including coordinating committee meetings and serving as a specialist for Watermark, Canvas, and Banner to assist Associate Dean as well as academic unit chairs/directors, program directors, and staff.
- Maintain accreditation records for 18 programs and coordinate external accreditation and internal unit review schedules.
- Coordinate schedule and communication related to student grievances, grade changes, late withdrawals, etc.
- Coordinate with the Office of Field Education & Community Outreach to assist with external affiliations, including contracts with academic program partners and external sites for field and clinical education.
- Process and maintain electronic files for Graduate Faculty Status and collect and upload Conflict of Interest/Conflict of Commitment documents.
- Manage the Associate Dean’s schedule and related processes. Anticipate and assess meeting and agenda needs and plan accordingly. Process travel and other expenses.
- Coordinate and prepare documents for regular and ad hoc meetings related to academic affairs and maintain meeting minutes. Maintain electronic files.
- Write, review, and proof correspondence, reports, and other documents on behalf of the Associate Dean.
- Assist with the planning and follow-through of college events and activities.
- Serve as a backup in the Dean’s office to the Assistant to the Dean & Office Manager. Participate as a dean’s office team member in planning and executing college initiatives. Serve as a backup for entering items and ordering supplies in SciQuest.
- Perform other related duties as assigned.
- Maintain regular and predictable attendance.
