Position Description

Reporting to the Director of the Program in Global Surgery and Social Change (PGSSC), the PGSSC Program Coordinator will work closely with the team of clinicians, researchers, administrators and educators in an academic setting and across multiple time zones with the goal of improving access and quality of surgical health care in low- and middle-income settings. The Program Coordinator supports efforts to advance access to, and quality of, care worldwide. This role can be a high-visibility platform for growth in global health and global surgery. Specifically, the program coordinator will be responsible for:

Administration

• Coordinates logistical aspects of PGSSC activities and daily operations.
• Provides administrative and financial support to the program director, fellowship director, faculty members, and fellows.
• Organizes and supports the formal admissions process with the assistance of the fellowship director.
• Supports annual on-boarding of new fellows and students.
• Maintains the agenda, minutes, and follow-up of weekly meetings.
• Facilitates weekly PGSSC morning report and associated events including setting up video platform in the meeting room, recording and archiving recorded meetings, etc.
• Assists team in the coordination and scheduling of weekly PGSSC lectures, supports invited speakers, etc.

Communication

• Acts as the point of contact for all external program needs.
• Confers with department staff and others to provide technical advice, provide problem-solving assistance and responds to questions about the program. Refers inquiries to others as needed.
• Drafts written communications and promotional literature.
• Maintains PGSSC website design and content and assists with management of PGSSC social media platforms.

Reporting and Records

• Prepares or assist in the preparation of periodic reports and records on program activities, progress, status, or other special reports for management, development office or outside agencies.
• Assists in the preparation of proposals for funding.
• Maintains a repository of PGSSC publications, presentations, and core documents.
• Maintains updated transition documents related to the PGSSC administrative coordinator role.

Event Planning

• Takes primary responsibility in planning logistics, scheduling and communications for PGSSC events.

Finance

• Processes reimbursements for PGSSC.
• Coordinates travel as outlined by the DGHSM finance team and Harvard University policy.
• Reviews non-employee reimbursements for PGSSC fellows and medical students for accuracy, compliance, and is responsible for coordinating any corrections.
• Responsible for submitting reimbursements in accordance with guidelines.

Basic Qualifications

3+ years of related experience. Higher education may count towards experience.

Additional Qualifications and Skills

• Bachelor's degree preferred
• Excellent organizational skills and project planning experience; strong collaborative skills
• Capable of managing multiple priorities and projects simultaneously
• Demonstrate an ability to communicate with a highly diverse group of people
• Proven time management; ability to work independently as well as collaboratively
• Experience with WIX or other web designs

This is a one-year term position from the date of hire, with the possibility of extension, contingent upon work performance and continued funding to support the position.

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
