Job Summary
The newly released and established Guiding Principles of The Graduate School (TGS) and the institutional imperatives to increase enrollment to 16,000 by 2030 requires a reorganization and change in the running of TGS. This Assistant Director position is critical for the advancement of admissions and enrollment in The Graduate School and our ability to meet the expanding needs of a growing graduate community. This position will direct and lead the graduate student applications and admissions processes and procedures and serve as the primary point of contact for department and graduate program support in the university CRM system (SLATE). They will be responsible for the biomedical sciences PhD program application, admission and enrollment processes, and will maintain and update TGS graduate program and summer program web pages. They will assist with promotional materials and publications, coordinate and provide leadership for the summer research program, and coordinate and provide leadership for special projects/events. They will also provide daily assistance to the Graduate School Vice Dean and office administration and with direct oversight of office staff members.
Responsibilities
Duties include but are not limited to:
GRADUATE SCHOOL APPLICATION/ADMISSIONS: Provide input and support for the Vice Dean in implementing strategic, operational, and tactical initiatives to create an effective and high-quality Graduate School application and admissions experience. Works collaboratively with the Vice Dean and Office of Academic Admissions to identify and address issues and opportunities while developing comprehensive strategies to achieve high-quality applicant and admissions team experiences for all current and new graduate programs (50+ programs) to create a positive experience for current and future students and CRM users. Responsible for the implementation, monitoring, and assessment of The Graduate School application and admission process and procedures. Ensure proper training for all office staff who work with application and admissions procedures. Coordinates training opportunities to ensure key liaisons within the 50+ graduate programs involved in the admission and recruitment processes maintain a proficient and accurate knowledge of all Graduate School application and admissions processes and procedures.
GRADUATE SCHOOL WEBSITE: Web Publisher, assists in developing, creating, maintaining, and updating the Biomedical Sciences, PhD, and TGS admissions web pages.
OVERSIGHT AND ADMINISTRATIVE SUPPORT: Directly supervises TGS Office Specialist who assists with applications, admissions, STAR, and other related responsibilities. Represents the Graduate School at meetings and on committees and/or task forces. Provides support to the TGS Vice Dean for all admissions-related duties.
GRADUATE SCHOOL APPLICATION/ADMISSIONS CONTINUATION: Contributes to the development of programming, training, and implementation of best practices in the application and admission processes by creating SOPs, instructions, user guides, handbooks, and website content covering the graduate application and admission process and procedures for admissions committees, Slate users, applicants, etc. Works with key liaisons within the graduate programs for annual updates to all admission requirements, application fields, supplemental forms, checklist requirements, etc. Provides personalized one-on-one contact with applicants and prospective students via in-person interactions as well as via phone, virtual, and e-mail correspondence to respond to program inquiries and provide support throughout the application process. Develops, maintains, and participates in communication and outreach plans associated with the graduate and online communications flow, including phone calls, e-mails, texts, and mailings. Monitors accuracy of data collection and application process at all points in the admissions cycle, from inquiry through enrollment. Prepares admissions files and verifies that the student information system is correct and accurate; works with the Office of Academic Admissions to correct any discrepancies and inconsistencies.
MANAGES AND MONITOR: Manages the monitoring, tracking, and reporting of application statistics for all graduate programs for multiple uses, including program assessment, institutional assessment, national surveys, training grant data, reports, and reviews. Responsible for reviewing and processing admission decisions for all TGS graduate programs. Research and track current admissions market trends and initiate process improvements to ensure efficient new/revised procedures and best practices. Coordinates and tracks the criminal background check process for TGS programs each semester; Serves as primary liaison with Certiphi updating and contracts, onboarding new programs, training staff and faculty in Certinhi, and creating directions for applicants.
BIOMEDICAL SCIENCES, PHD ADMISSIONS: Responsible for all correspondence with applicants to the Biomedical Sciences PhD program; primary resource for information related to the application and admissions process. Creates and maintains communication plans (e.g. email, mail, text) for prospective students). Conceive, create, develop, and execute communications focusing on the program's benefits to prospective students. Participates in key aspects of the selection process, including setting up interviews, reviewing, and evaluating applications, and processing admission recommendations on behalf of the admissions committee. Attends all Biomedical Sciences, PhD Recruitment and Admissions Committee (RAC) meetings; prepares and proofs materials and files for review-to include agenda, multiple complex summary sheets, individual complete application files, and other supporting documentation; prepares meeting minutes and records committee decisions for appropriate processing. Lead coordinator for Biomedical Sciences and PhD interview visits. Builds and updates applicant reports and queries to inform progress towards goals, regularly reviews numbers, and provides updates to the Vice Dean and RAC
SLATE RESOURCE AND LIAISON FOR TGS PROGRAM DIRECTORS AND CON: Attends all routine training sessions and core meetings for Slate to maintain up-to-date awareness of software features, functions, updates, and operations. Provides TGS graduate program directors and program contacts with appropriate training and informational sessions in the Slate system to ensure that all programs are proficient and experienced with required admissions processes and procedures and applicable Slate functions and features; serves as program point of contact for the 50+ graduate programs' Slate maintenance and updates. Uses Slate to procure active prospect lists and manage prospective pool of applicants to create, implement, and manage online inquiry forms. Builds a strong communication flow for prospective and matriculated students. Creates key inquiry forms, mailings, reports, and queries in Slate for all graduate programs.
SUMMER STAR PROGRAM: Serves as the Assistant Director of the Summer STAR program. Responsible for directing, supervising and implementing all aspects of the summer program application and the application process. Provides direct supervision and training for all office staff members who assist with all aspects of the summer program. Coordinates communications with prospective applicants, applicants, and participants to address inquiries and provide information about the program and events. Prepares communications with faculty and staff members who are participating in the program and events. Responsible for the summer program database and database uploads and entries; develops new reports and pages/fields, as needed; responsible for updating and maintaining the database system; responsible for monitoring, tracking, reporting, and assessing program statistics. Serves as a liaison between TGS and IT for the summer program application, field testing, updates and sign-off, etc. Coordinates and manages the summer program participant arrival, housing, orientation, and compliance training for the program.
SUMMER STAR PROGRAM CONTINUATION: Coordinates all program events and helps plan, schedule, and implement workshops and special events (social events, poster sessions, end-of-program special workshops, etc). Creates annual STAR application and workflows in Slate; trains admissions committee on the use of Slate; Creates forms, queries, and reports for STAR applications and admissions tracking.
SUPPORT GRADUATE ADMISSIONS FOR AU ONLINE TGS PROGRAMS: Serves as the primary contact for the graduate school for admissions-related duties, questions, and issues at the AU Online College. Oversees processing of admissions requirements, publication, and appropriate marketing of program application process for all Graduate School programs featured in the AU Online College
OTHER DUTIES: Performs other duties as assigned.
Required Qualifications
Bachelor's degree from an accredited college or university, along with three (3) years of applicable experience.
Preferred Qualifications
Master's degree from an accredited college or university in a related field

Salary: $62,300/ annually - $74,880/annually
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
