What Your Job Will Be Like:

The Facilities Subcontract Operations team is seeking a proactive and collaborative Tactical Planner to partner across Sandia and the vendor community to plan and execute maintenance and infrastructure services support.

On any given day, you may be called on to:

  • Serve as the technical liaison between Sandia and subcontractors, managing all aspects of subcontract execution including kickoff meetings, pre-job briefings, progress monitoring, cost tracking, property management, travel approvals, deliverable verification, site visits, safety and security compliance, training, statement of work drafting, invoice approval, performance evaluation, and audit responses. Ensure adherence to subcontract terms and address any performance or compliance issues promptly.
  • Collaborate with project managers, planners, subject matter experts, and procurement professionals to resolve contracting issues, ensure successful contract implementation, and develop executable work processes.
  • Accurately enter and manage work order information and documentation in Sandia’s facilities management systems (Maximo, Oracle, Shared drives, etc.).
  • Notify other Facilities teams of planned service activities and coordinate any scheduling conflicts.
  • Manage daily work and support multiple customers and staff members concurrently through contract administration and service execution.
  • Be accountable for the results of assigned activities and communicate proactively to management on arising issues or concerns.
  • Assess completeness of supplier submittals (e.g., invoices, certifications, reports) for successful contract close-outs. Lead contract close-out efforts for a high volume of contracts per Sandia’s requirements.
  • Contribute to Sandia’s success by accurately communicating issues and solutions within the work function; act as a conduit for information sharing across several functional areas. Evaluate methods/processes to improve effectiveness and results.
  • Facilitate and participate in regular maintenance or work/task order status meetings.
  • Attend site visits before, during, and after activities to observe and compare field observations with documented activities in work order systems.

Due to the nature of the work, the selected applicant must be able to work onsite.

Salary Range:

$70,200 - $135,400

*Salary range is estimated, and actual salary will be determined after consideration of the selected candidate's experience and qualifications, and application of any approved geographic salary differential.

Qualifications We Require:

  • Bachelor's degree in relevant field, plus 5 years of relevant exempt level experience; or an Associate's degree in a relevant field plus 9 years of relevant exempt level experience; or a High-school diploma and 13 years of relevant exempt level experience.
  • Must be able to obtain and maintain an active DOE L-level security clearance.

Qualifications We Desire:

  • Experience using the following:
  • Microsoft Office Suite (e.g., Word, Excel, PowerPoint, and Outlook)
  • A facilities maintenance/management software (e.g., Maximo)
  • Adobe Acrobat Professional (or equivalent)
  • Strong written and verbal communication skills.
  • Experience with contract/subcontractor management.
  • Experience with work planning and control.
  • Understanding of facilities processes and procedures.
  • Self-motivated individual that can work both independently as well as have demonstrated the ability to work effectively in team environment.
  • Demonstrated success in communicating with staff and managers and providing high quality service.

About Our Team:

The Facilities Subcontract Operations team is responsible for anticipating and providing the necessary subcontracted and outsourced products and services that enable success of Sandia’s Maintenance Operations. The department provides oversight, delegated contract responsibilities, and work acceptance support for construction projects and services touching thousands on projects per year.

Posting Duration:
