College/Department Information

The Medical College of Georgia is one of the nation's largest medical schools by class size, with 260 students per class. The educational experience is anchored by the main campus in Augusta, regional clinical campuses for third- and fourth-year students across the state and a second four-year campus in Athens in partnership with the University of Georgia. MCG's expanding partnerships with physicians and hospitals across Georgia currently provides about 350 sites where students can experience the full spectrum of medicine, from complex care hospitals to small-town solo practices. MCG and its teaching hospitals also provide postgraduate education to more than 500 residents and fellows in 50 different Accreditation Council for Graduate Medical Education-approved programs. Our researchers and clinicians focus on what most impacts the health of Georgia's and America's children and adults, including cardiovascular biology and disease, cancer, neurosciences and behavioral sciences, public and preventive health, regenerative and reparative medicine, personalized medicine and genomics. Our physician faculty also share their expertise with physicians and patients at about 100 clinics and hospitals statewide.

Job Summary

Responsible for providing fiscal and operations support for travel, supplies, and equipment to the Department of Family and Community Medicine. This position is responsible for the day-to-day management in the areas of finance for these areas. This position provides in-depth analytical reporting of operations utilized by the Business Manager and Administrator of the department. Other areas of support will include HR functions and ensuring compliance with institutional policies and procedures.

Responsibilities

The duties include, but are not limited to:

Database Financial and Maintenance Responsibilities

Enter budgets for travel, supplies, and equipment at beginning of each new fiscal year. This is includes state appropriations, grant accounts, residuals, etc.

Preview all documents prior to entering (i.e., travel, check requests, etc.) to ensure accuracy and appropriate CFC.

Download and review PeopleSoft reports and reconcile FileMaker every other week.

Prepare monthly financial analysis on status of accounts and for any special projects.

Recommend and submit budget amendments to the Business Manager for review and approval and ensure budget amendments are adjusted within the database.

Primary for entering data in FileMaker and is responsible for overseeing input and accuracy by other employees who enter files on behalf of the Business Office.

Work with IT Section on the creation of new reports or updates to the system to improve efficiency.

All other functions related such as setting up new vendors, CFCs, etc. within the database.

OneUSG

Prepare supplemental and extra duty memos for faculty/staff. Upon approval, input as needed into OneUSG Manager Self Service and attach required documentation.

Enter new clinical faculty ePARs.

Assist in Day-to-Day Operation of Department

Contact Facilities, when needed

Handle routine departmental questions in reference to accounts, etc.

Special Projects for Business Manager and/or Administrator

Back-up for Business Manager

Other duties as assigned

Reconciliation of Accounts

Download and reconcile AU and MCG Foundation financial accounts for the department.

Review and submit documentation to MCG Operations for faculty CME reimbursement. Reconcile and ensure faculty CME is accurate and utilized appropriately.

Reconcile all other non-personal accounts that are associated with the department (AUMA, etc.)

Ensure specialized documents that are associated with financials are completed, when needed, such as for independent contractors, etc

Serve as P-Card Reviewer

Review p-card preapproval requests and ensure department is in compliance with all p-card guidelines.

Remind p-card holders monthly to turn in logs and give deadline for submission to the Business Office.

Review logs and documentation for completion prior to submitting to the Business Manager for review/approval.

Maintain accurate and organized paper copies.

Duties as Assigned

All other duties as assigned.

Required Qualifications

Educational Requirements

Bachelors degree from an accredited college or university in Business Administration or a related discipline & 1 year administrative and/or management experience OR Associates degree from an accredited college or university and 2 years of relevant experience OR High School diploma, GED or equivalent from a recognized state or federal accredited organization and 3 years administrative and fiscal management experience.

Knowledge, Skills, & Abilities

ABILITIES

Excellent customer service, interpersonal, multi-tasking, organizational and verbal/written communication skills;

Proficiency with Microsoft Office (Word, Excel, Access, and PowerPoint) and other computer software/databases.

Ability to coordinate multiple projects simultaneously, meet deadlines despite often interruptions, maintain confidentiality, keep accurate records and make independent decisions

KNOWLEDGE

Knowledge and direct experience in financial and budgetary practices, fiscal data administration as well as compliance and records management.

Shift/Salary/Benefits

Shift: Days/M-F (work outside of the normal business hours will likely be required of an employee in an exempt level position)

Pay Grade: 15

Salary: Minimum $38,913.00/Annually - $50,000/Annually

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
