Position Description
Under the direction of the Scientific Director, the Program Coordinator will help develop and coordinate the newly created international collaboration between Harvard Medical School, SNUH and SNUCM. The Program Coordinator will operationally support the program in the Immunology Department at Harvard Medical School, working closely with the Scientific Director. Independently responsible for all administrative coordination of the SNUH Collaboration Program; will provide operational support for collaboration events, such as joint meetings and symposia, and for arranging research talks and work-in-progress meetings among the program-supported SNUH trainees at HMS designed to bring together the HMS and SNUH biomedical research communities. The Program Coordinator will also organize annual in-person meetings between the two institutions, provide travel support for the Scientific Director and visiting scholars, and facilitate visa applications for trainees in the program. Serves as a subject matter expert, principal administrative contact, and liaison for internal and external department or program constituencies; reviews and analyzes procedures and policies; assesses outcomes and implements changes; works very independently with minimal supervision in a work environment of multiple and conflicting priorities; anticipates and resolves problems, updating supervisor as needed.

Responsibilities for the Project Coordinator include:
  • Organize events and conferences including developing content, structure, and publicity, coordinating with other Harvard offices, SNUH and other groups, and planning logistical details.
  • Organize research symposia and outreach talks as part of the HMS/SNUH collaborative activities, and liaise with other speakers, investigators, and donors.
  • Prepares and maintains unit's records (such as financial, personnel, administrative, trainees) reviews complex documents, reports, and notifies supervisor of unusual situations as needed.
  • Interpret program policies and procedures to advise faculty and other academics.
  • Ensure compliance with university policies and procedures and applicable legal rules and regulations.
  • Analyze program content, materials, program mapping and demand; recommend improvements.
  • Develop strong working relationships with faculty, staff, and external clients associated with the program; manage scope of delivery and regularly inform stakeholders of program related activity and/or decisions.
  • Negotiate with vendors to contract for goods and services.
  • May track and monitor program budget to achieve financial goals.
  • Assist in planning and implementing strategies to improve programs and department processes, policies and procedures.
  • Serve as operations leader for all projects supporting the program and ensuring that operational tasks are consistently executed.
  • Interface with collaborators and lead collaborative projects with other PIs at other institutions.
  • Manage website for the collaborative program.
  • Contributes to program goals by accomplishing related duties as required.
Basic Qualifications
5 or more years of experience. Higher education may count towards experience.
Additional Qualifications and Skills
  • Bachelor's Degree preferred.
  • Excellent organizational skills with ability to prioritize work in an environment with multiple and conflicting interests.
  • Proven project and/or program management skills.
  • Excellent interpersonal, analytical, and communication skills.
  • Ability to work independently with minimal supervision.
  • Ability to handle complex and confidential information with discretion.
  • Proficiency using a variety of computer software and systems.
  • Preferably the ability to speak Korean.
  • Ability to multitask while maintaining attention to detail.
  • Ability to prioritize to meet deadlines.
  • Excellent attention to detail and follow-through skills.
  • Strong written, verbal, and presentation skills.
  • Demonstrated professionalism and integrity.
  • Ability to build many professional and collaborative relationships that move initiatives forward.
  • Tenacious work ethic and a "take charge" attitude.
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.
Additional Information
This is a three-year term position from the date of hire, with the possibility of extension, contingent upon work performance and continued funding to support the position.
