College/Department Information

The Medical College of Georgia is one of the nation's largest medical schools by class size, with 260 students per class. The educational experience is anchored by the main campus in Augusta, regional clinical campuses for third- and fourth-year students across the state and a second four-year campus in Athens in partnership with the University of Georgia. MCG's expanding partnerships with physicians and hospitals across Georgia currently provides about 350 sites where students can experience the full spectrum of medicine, from complex care hospitals to small-town solo practices. MCG and its teaching hospitals also provide postgraduate education to more than 500 residents and fellows in 50 different Accreditation Council for Graduate Medical Education-approved programs. Our researchers and clinicians focus on what most impacts the health of Georgia's and America's children and adults, including cardiovascular biology and disease, cancer, neurosciences and behavioral sciences, public and preventive health, regenerative and reparative medicine, personalized medicine and genomics. Our physician faculty also share their expertise with physicians and patients at about 100 clinics and hospitals statewide.

Job Summary

The incumbent in this position, as part of an administrative team, is responsible for the day-to-day business and financial operations of the Department of Surgery under the direct supervision of the Department Administrator of Surgery. This position, in conjunction with the Department Administrator of Surgery has indirect oversight over the Department of Surgery practice site and assists with ensuring high quality patient/family centered care, including ready access to ambulatory care services, as well as achieving optimal business performance for the practice site and health system. The incumbent will have direct oversight of the undergraduate office, residency program office, and quality office in the Department of Surgery to align new departmental initiatives and goals to streamline efforts and processes. This individual will manage all aspects of research in the Department of Surgery to include, but not limited to submission of grant proposals and budgets, hiring faculty and staff, case management of studies, liaison for the Department and DSPA. Daily and operational responsibilities include financial management, leadership, program development, project coordination, maintenance of environment and security, assisting Administrator with medical office/administrative policies, conformance to all regulatory requirements and continuing education. Responsible for assisting in developing business plans in accordance with AU and Health System standards, assisting in executing business plans as approved by the AU/Health System leadership, developing appropriate internal and external relationships to maximize ambulatory practice site effectiveness and facilitate problem-solving across organizational units that support services provided.

Responsibilities

The responsibilities include, but are not limited to:

General Administration - Administrative Unit :
  • Oversight of all active financial accounts within AU, MCG, AUMA, Foundation and related policies and procedures (purchasing, AJP, AIR, payroll, budgeting, auditing, etc.) Responsible for budget development, supervision and management of the department's operating revenues and expenditures. Exercises budget controls to ensure that expenditures will not exceed budget.
  • Prepares, or causes to be prepared, in an accurate and timely manner periodic financial, expenditure, revenue and payroll statements and reports for strategic decision-making and operational leadership of the department.
  • Direct oversight for administrative policies and procedures of AU, MCG, and affiliated organizations (AUMA, Foundation, AU health system), including HR, EEO/AA, facilities, materials management, computing, and telecommunications.
  • Facilitate faculty and APP recruitment, supported by a formal business plan, to enhance and expand the missions and strategies of the Department, School, and University.
  • Supervision of the coordination and assignment of space and property utilization for the department.
  • P-card and supply and equipment management for the department.
  • Process all requisitions for all department purchases.
  • Prepares monthly volume reports (visits and OR cases) from Stratajazz.
  • Assist the Department Administrator in the preparation of faculty and staff university budget.
  • Process all check remittances regardless of entity.
  • Maintains required records of IDR's, check requests, etc.
  • Prepares all cost transfers for supplies and personnel.
  • Enters and process all OneUSG epars such as distribution changes, terminations, transfers, etc.

Education & Quality Administration & Management:
  • Provide appropriate infrastructure to support continued excellence in education at the student and resident level. Develop and implement initiatives targeted to meet institution/department goals for graduation, board pass rate, and recruitment of graduates from LCME accredited medical schools.
  • Provide direct oversight of the incumbents in the undergraduate, graduate and quality offices to include:
  1. Implementing policies and procedures to streamline consistent workflows to enhance resident experience and improve quality initiatives.
  2. Partnering with the program director, coordinator, and specialist to help increase resident compliments through the rural health sites initiative and other collaborations.

Department of Surgery Graduate Medical Educational Programs:
  • General Surgery Residency Program - 30 categorical residents
  • Urology Residency- 10 categorical residents
  • Surgical Critical Care Fellowship - 2 fellows
  1. Developing strategic planning and initiatives to recruit higher level residents and medical students in our courses and program by working collaboratively with our undergraduate director and program director.
  2. Developing strategic goals and quality projects with our quality director of NSQIP to improve surgical and quality education for the Health System and department.
  3. Day to day oversight of the education and quality staff to include human resources, financial, and record keeping.


Research Management and Development:
  • Manage all aspects of extramural and intramural research funding and initiatives in the Department of Surgery.
  • Working with our MD and PhD faculty to develop and route budgets for funding approval.
  • Interact with local, regional, and national organizations (NCURA) to identify and implement best practices within both departments.
  • In collaboration with faculty and OCIS monitor active research projects to maximize extramural funding while ensuring ongoing compliance with institutional, state, and federal guidelines.
  • In collaboration with faculty and OCIS assure adequate managerial infrastructure to support significant expansion of research initiatives within the Department.
  • Perform all other job-related duties as assigned.


Required Qualifications

Bachelor's degree from an accredited college or university in Business Administration or related discipline and three years of progressive management experience.

Preferred Qualifications

Ability to maintain confidentiality, multi-task and prioritize assignments. Attention to detail. Ability to self-direct and complete work with little oversight. Familiar with financial business principles, especially as they relate to the budgetary process. Good communication and people skills with a supervisory background. Proficient in all organizational software programs.

Pay Band: B13

Salary Minimum: $68,500 - $85,000

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
