Job Summary

The incumbent will administer and coordinate various business, fiscal, and project management functions for University IT. Work is characterized by a variety of business, fiscal, telecommunication, and administrative functions. Work requires knowledge of applicable policies, procedures, and information systems to communicate and process information. The range of duties includes but is not limited to program coordination, program marketing and customer service, budget management, report writing, summarizing and reconciling information and financial data, records and facilities management, personnel administration, and closely related functions.

Work involves responsibility for researching, directing, managing and expediting activities necessary to economically obtain the quality of services for Information Technology. Work includes extensive consultations with staff, faculty, vendors and multiple departments related to process problems and requires the exercise of considerable judgement, tact and diplomacy. Work is performed with considerable independence within established University policies, procedures and regulations.

Responsibilities

Duties include but are not limited to:

BUDGET & FISCAL MANAGEMENT: Complying with University budget guidelines, the business services coordinator is responsible for the University Information Technology department's budget. Frequently serves as the IT expert on financial matters. Compiles and summarizes financial data to participate in budget management and reporting, Manages a variety of business and records functions. Performs research, data collection and analysis of information, and report writing. Interprets policies and procedures to facilitate and ensure the application of sound business practices. This may include integrating policies and procedures with work units external to the organization. Assesses and resolves problems that require research and review of policy and procedures. Analyzes moderately complex business operations and financial statements and makes recommendations for approval. Develops and/or edits written documents and/or reports information that usually spans across functional areas. Provides documentation to explain and support conclusions. Communicates interpretive information that spans across functional areas. Responds to non-routine inquiries. Including Effectively utilizing financial tools to meet business and accounting requirements, review expenditures for compliance and establish accounts across multiple units. Monitor and balance budgets across multiple accounts. Compile and complete monthly budget reports. Manage and prioritizes work based on deadlines. Plans and carries out recurring work using established IT business procedures. Oversees the procurement and contract process to ensure compliance with state and university guidelines. Independently complete and submit budget transfers, check requests, deposits, interdepartmental requests, journal entry forms, purchasing card and requisitions (electronic and manual). Submit capital requests and tracking requests. Monitor and balance discretionary and agency accounts. Check, review and prepare budget reports.

PURCHASING: Following University purchasing guidelines as needed assist with the completion of purchases for the Information Technology Department. This will include but is not limited to entering requisitions into PeopleSoft. Monitoring activity to ensure the order has been completed and delivered to the customer. Work with Accounts Payable to review invoices, check with customers on receipt of merchandise, as needed work with purchasing to receive items and instruct AP on the release of payment. Check, review and prepare purchasing reports as needed.

CONTRACT: Complying with the University contract guidelines, assist with the completion of reviewing new and renewal contracts for the Information Technology Department. This will include but is not limited to assisting with monitoring contract activity, assist with completing both hard copy and electronic requisitions, working with Accounts Payable to ensure payment of contract invoices, follow up on contract complications and check review and prepare contract reports as needed.

ASSET MANAGEMENT: Asset Management includes complying with the University's asset guidelines to track all ITS assets, including assisting in maintaining the ITS asset inventory, surplus, and tracking documents. As needed, working directly with the Asset Management department to enter and report all asset data.

BILLING: As needed, serve as backup to assist with telecommunications efforts such as billing, invoicing or auditing telecommunication services across multiple units throughout the University.

ASSIST WITH ITS ADMINISTRATIVE FUNCTIONS: As needed, assist with ITS administrative functions to include but not be limited to screening visitors, answering the telephone, sorting mail, badge, moving and key requests. Other duties as assigned.

OTHER: Other responsibilities, as assigned.

Required Qualifications

Bachelor's degree from an accredited college or university in Business Administration or related field with a minimum of five years experience (in any industry) performing progressively increasing administrative responsibilities in office management, financial management, and/or administration in an enterprise setting (to include project management, event scheduling, logistics management, and business unit relationship management).
OR
Associate's degree from an accredited college or university and a minimum of eight years' experience performing progressively increasing administrative responsibilities in office management, financial management, and/or administration in an enterprise setting.

Preferred Qualifications

Master's degree from an accredited college or university in business or related field. Knowledge of Identity management systems, specifically CS Gold and Banner
Experience in an enterprise academic and healthcare environment
Experience with a technical background in an enterprise setting
Budget experience
Ability to work with senior management

Knowledge, Skills, & Abilities

KNOWLEDGE

Proficient in Microsoft Office and other computer software/databases

Proficient in Adobe Acrobat and understanding the use of standard office equipment, including multi-functional printers

Knowledge of enterprise HR policies and procedures

In-depth knowledge of enterprise accounting (accrual and cash-based)

Must be familiar with enterprise contract, purchasing, and travel concepts and needs to be comfortable with IT terminology

SKILLS

Excellent verbal/written communication and interpersonal skills

Detailed-oriented with strong organizational, prioritization, and customer service skills

ABILITIES

Shift/Salary/Benefits

Shift: Monday-Friday (work outside of the normal business hours will likely be required of an employee in an exempt level position)

Pay Grade: 16

Salary: $41,846/annually - $50,000/ annually

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
