Job Description

In this role, you will coordinate and manage various programmatic activities for IAEA Programs at Argonne whose role is the U.S. Support Program (through the Department of State, DOS) to the peacetime matters of the International Atomic Energy Agency (IAEA). This program’s work is integral in maintaining the U.S-IAEA relationship.

Responsibilities will span all areas of IAEA Programs at Argonne activities (IAEA Fellowships, IAEA Training, IAEA Careers, and IAEA Meeting Nominations) and include additional opportunities to support DOS requests such as in organizing events, writing materials, reporting information, and querying data. The program coordinator is the administrative point of contact to the IAEA and to key collaborators across the U.S.

In this position, you will:

  • Coordinate the IAEA fellowship program. Responsibilities include processing IAEA fellowship applications for USG clearances, communicating with the US host organization for placement, coordinating necessary paperwork to assist IAEA fellows to start their training as scheduled, and preparing fellowship profiles.

  • Coordinate the research of data related to IAEA non-safeguards activities, providing analysis, and reporting such data accurately and in a timely manner.

  • Assist in the IAEA event nominations program. Responsibilities include receiving, registering, and distributing as appropriate, official requests for U.S. participation in various activities of the IAEA non-safeguards events as well as for US host government agreements.

  • Create summary reports (monthly, annually), prepare other written materials (presentation slides, factsheets, website updates, articles, etc.), and update program databases/websites.

  • Participate in special projects, such as hosting conferences, preparing materials, social media, etc.

  • Assist in the IAEA-Argonne training courses program. Responsibilities include updating event agendas, coordinating planning meetings, writing informational packets, communicating with all stakeholders, and booking meeting and hotel venues. Provide guidance to administrative support staff to accomplish objectives, as needed.

  • Assist in the IAEA careers program. Responsibilities include participating in outreach activities, sending out job alerts, and writing outreach materials.

Position Requirements

  • Excellent oral and written communication skills with proven ability to use tact, diplomacy, and discretion to maintain confidentiality and handle a variety of sensitive information.

  • High level of accuracy and the ability to pay attention to detail, take initiative, solve problems, and set priorities.

  • Highly Proficient in Microsoft Office suite including Word, Outlook, Access, Publisher and Excel as well as online conferencing platforms such as Zoom, Microsoft Teams, etc.

  • Ability to interpret and implement program standards and Argonne policies and procedures.

  • Experience with planning in-person and virtual events.

  • Knowledge of International Atomic Energy Agency’s Technical Cooperation projects and programs.

  • Foreign language skills (such as in Spanish or another IAEA working language) is advantageous.

  • Ability to model Argonne’s Core Values: Impact, Safety, Respect, Integrity, and Teamwork. 

  • Bachelor's degree in management, social sciences, science and technology, international relations, or another relevant field.

  • Minimum of two years of related experience, including program planning and implementation and budget management experience, preferably in an international environment.
