We are seeking a dynamic person for our Senior Executive Assistant who will be supporting our Chief Operating Officer (COO) in our Duarte office. The person in this role will be responsible for the coordination of activities (operations and planning) and ensuring the timely flow of information to and from the executive office. This role is responsible for handling details of a highly confidential and critical nature and must function efficiently and effectively in a fast-paced professional environment.We are seeking a person of confidence, who has strong organizational skills, with a project manager mindset, and has the creativity to drive and support the needs of the COO.
As a successful candidate, you will:
- Use discretionary initiative and judgment in handling sensitive & confidential details, establishing priorities and resolvingp problems relating to day-to-day operations & administrative details.
- Serve as a liaison between executives, managers & visitors as required.
- Resolve routine and complex inquiries and problems requiring in-depth knowledge of organizational, divisional, and departmental policies, procedures & projects in progress.
- Schedule & maintain calendar of appointments, meetings & travel itineraries. Coordinates related arrangements.
- Assist COO in maintaining & keeping scheduled appointments, meetings, etc.
- Independently prepare & distribute minutes of meetings. Initiates follow-up on items discussed in meetings.
- Gather background information for the COO to reply to issues posed in correspondence and other queries. Routes & answers all correspondence not requiring executive’s attention.
- Plan, organize and prioritize special projects. Which includes reporting, data analysis and power point presentations.
Your qualifications should include:
- A bachelor’s or Master’s degree preferred (experience may substitute for minimum education requirements).
- 5-7 years of experience in administrative & secretarial support at an Executive level.
- Possesses a high level of administrative and secretarial skills & versatility in the use of PCs and related office software.

Salary / Pay Rate Information:
Pay Rate: $34.64 - $53.70 / hour
The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate’s experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
